Privacy Policy
Last updated: 14 October 2026
Nextenti Tech Private Limited (“Nextenti”, “we”, “us”, “our”) operates OyeHR, a human resource management platform (“the Service”). This Privacy Policy explains what information we collect through the Service, how we use it, and the choices available to you.
1. Information We Collect
When an organization (“Customer”) uses OyeHR, the Customer and its employees may provide or generate the following categories of information:
- Account and profile information — name, email address, mobile number, employee ID, role and department.
- Employment records — attendance, shifts, leave requests, payroll and performance data entered by the Customer.
- Identity and compliance documents the Customer chooses to upload (e.g. ID proof, offer letters), where applicable.
- Usage data — log-in timestamps, device/browser information and activity logs, used for security and audit purposes.
2. How We Use Information
- To provide, operate and maintain the Service for the Customer that administers your account.
- To authenticate users and secure accounts against unauthorized access.
- To send transactional communications (e.g. login credentials, password resets, approval notifications).
- To maintain audit trails required for HR compliance and record-keeping.
- To improve the reliability, security and functionality of the Service.
3. Who Can See Your Information
OyeHR is multi-tenant software: each Customer organization's data is logically separated from every other Customer's data. Within a Customer's organization, access is controlled by that organization's own administrators through role-based permissions — Nextenti does not grant itself routine access to Customer data beyond what is needed to operate, secure and support the Service.
4. Data Sharing
We do not sell personal information. We may share information with:
- Infrastructure and hosting providers that store data on our behalf, under contractual confidentiality obligations.
- Communication providers (e.g. email/WhatsApp delivery) solely to deliver messages the Customer has configured.
- Authorities, where required to comply with a legal obligation.
5. Data Security
We apply technical and organizational safeguards appropriate to the sensitivity of the data involved, including encryption in transit (HTTPS/TLS), encrypted payloads on sensitive endpoints, hashed credential storage, and access controls scoped to each Customer's organization. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
6. Data Retention
We retain information for as long as the Customer's account remains active, or as needed to comply with legal, tax or regulatory obligations, resolve disputes and enforce agreements. A Customer may request deletion of data it controls, subject to any retention obligations that apply to HR and payroll records.
7. Your Rights
Depending on applicable law, you may have rights to access, correct or request deletion of your personal information. Since OyeHR is administered by your employer (the Customer), such requests are typically directed to your organization's HR administrator in the first instance.
8. Cookies
The Service uses a limited set of cookies and local storage to keep you signed in and remember basic preferences. See our Cookie Policy for details.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
